Internal agricultural record-keeping app

FarmJua (“the App”) is an internal agricultural record-keeping and field data collection application used by authorized staff and partners of FarmJua (“we”, “us”, “our”). This Privacy Policy explains what information we collect, why we collect it, how we use it, and the choices available to you. By using FarmJua, you agree to the practices described in this Privacy Policy.

Who this policy applies to

  • Authorized FarmJua users (e.g., field officers, supervisors, administrators).
  • Farmers and households whose information may be recorded in the App as part of program operations.

Information we collect

A. Personal and program data (about farmers/households)

  • Names and identifiers (e.g., farmer name, household members, internal program IDs).
  • Contact details (e.g., phone number, village, parish, district).
  • Demographic information (e.g., sex, age range, group membership) where required for program reporting.
  • Farm and production records (e.g., crops, livestock, fisheries, seasons, inputs, outputs, yields, visits, training attendance).
  • Supporting notes and observations captured by staff.

B. Location information

GPS coordinates and geotags (e.g., farm/plot locations, service visit locations), when users enable location permissions.

C. Photos and files

Photos of farms/plots, documents, and evidence images (e.g., field visit evidence), if users choose to upload them.

D. Device and app data

  • Device information (e.g., device model, OS version).
  • App usage and diagnostics (e.g., crash logs, performance data).
  • Log data (e.g., timestamps of actions, record creation/updates) for audit and accountability.

E. Account and authentication data

  • User account details (e.g., name, phone/email, role, organization/district).
  • Login/session data and security tokens.

How we use information

  • Provide and operate the App and related services.
  • Create, update, review, approve, and report on agricultural records.
  • Improve data quality, reduce fraud, and support audit trails (who did what, when).
  • Generate dashboards and reports for authorized program stakeholders.
  • Maintain security, prevent unauthorized access, and investigate misuse.
  • Provide technical support and troubleshoot issues.

Legal basis / lawful purpose

We process data for legitimate operational purposes related to agricultural program delivery, monitoring, compliance, and reporting by FarmJua and its authorized partners. Where required, we rely on user consent and/or program consent processes for capturing farmer information.

When we share information

We do not sell personal information. We may share information only in these cases:

  • With authorized program stakeholders (e.g., administrators, district reviewers, partner organizations) who have access rights based on their role.
  • With service providers who help us operate the App (e.g., hosting providers, database services, crash reporting tools), under confidentiality and security obligations.
  • For legal reasons if required by applicable laws, lawful requests, or to protect rights and safety.

Third-party services

FarmJua may use third-party services to support features like maps, analytics, crash reporting, or notifications. Examples include Google Maps / Location Services (for mapping and geotagging), Firebase (Authentication, Analytics, Crashlytics), and OneSignal or Firebase Cloud Messaging (push notifications). These services may collect limited technical information as needed to function.

Data storage and security

We take reasonable and appropriate measures to protect information, including:

  • Role-based access control (only authorized users can access relevant data).
  • Authentication and session controls.
  • Encryption in transit (HTTPS) where supported.
  • Server and database security controls.
  • Audit logs for key actions (where enabled).

No system is 100% secure, but we work to protect data against unauthorized access, alteration, or loss.

Data retention

We retain records only as long as necessary for program operations, reporting, audit requirements, and legal obligations.

  • Farmer and farm records: retained for the duration of the program and required reporting periods.
  • Account and audit logs: retained for security and compliance purposes.
  • Backups: retained for a limited period for recovery.

We retain data as long as the program requires and delete or disable access when no longer needed.

User choices and permissions

  • Location: you can enable or disable location access (some features may not work without it).
  • Camera/Photos: you can deny access (image upload features will not work).
  • If you are an internal user, you may request account deactivation through your administrator.

Farmer data rights and requests

If you are a farmer or data subject and want to request:

  • Access to your information.
  • Correction of inaccurate details.
  • Deletion/withdrawal where applicable.

Children’s privacy

FarmJua is not designed for public use by children. If information about minors is recorded (e.g., household members) it is done by authorized staff only for legitimate program records.

If servers or service providers are located outside your country, information may be processed in those locations. We take steps to ensure appropriate safeguards are in place.
